Committees

Communications Committee

The Communications Committee creates and publishes the Connection, Orchid Cove’s monthly newsletter. It also manages this Orchid Cove website and all the information contained herein, which includes, for example, the Orchid Cove Recommended Vendors List as well as the Welcome Packet for New Owners & Residents.

Landscape Committee

The Landscape Committee makes recommendations for updating and maintaining plants, shrubs and trees in our community. The Board of Directors votes on any proposed expenditures.

Documents Committee

The Documents Committee reviews drafts of proposed rule changes and makes recommendations to the Board. It is also charged with drafting revisions to the Orchid Cove governing documents to bring them up-to-date and in compliance with current Florida statutes, with attorney assistance as necessary.

Maintenance Committee

With Board and Property Manager guidance, committee members will walk the shared community property regularly and after major storms, inspecting roofs, entrance areas, lights, roads, driveways and sidewalks. Members will document conditions and recommend repairs if needed. In some cases, small “handyman” repairs like changing light bulbs and minor painting might be done by Maintenance Committee members.

Pool Committee

With Board and Property Manager guidance, this committee will manage the pool area service vendors, making sure maintenance and cleaning services meet contract specifications and community expectations. The committee will help ensure that the community pool meets Florida Department Of Health standards. The committee may help with pool operations and rules enforcement. Upon inspecting lounges, chairs and tables as well as pool equipment and bathrooms, the committee may also recommend changes in the common areas to the Board.

Rules Compliance Committee

Using Board and Property Manager guidelines, this committee will walk the shared community property grounds at pre-set intervals and note rules infractions so the Board and Property Manager can send official notification-of-violation letters to owners and tenants. In rare cases (due to refusal to comply with rules and bi-laws), the committee may also recommend fines. Board members and their families are not allowed membership on this committee.

The following committees have yet to be formed and need volunteers. If you do have an interest, please contact one of the board members or Loren Lysen, our Property Manager (LLysen@PCMFLA.com). We’d love to get these committees going!

Welcome Committee

With Board guidance, this committee will personally visit and officially welcome new owners and new tenants to our community. The Committee will also share information about the Association, which will include showing new residents:

1) How to access the Orchid Cove website,

2) The location of our online welcome package, and

3) How to navigate through our community Rules & Regulations.

The committee will answer any questions that new residents may have about Orchid Cove, the Tara CDD, and Tara Master Association as well as the greater Bradenton/Sarasota area. The committee will encourage new residents to complete emergency contact information and other community documents, while explaining the importance of these documents to our community. The committee will also make sure new residents have the correct contact information for any issues they may have, as well as encourage them to become involved in the Association.
